Cisco Voicemail

Initial Setup

To ensure your mailbox is set up correctly, work through the following.
Your initial password/PIN is 1111 and you will be prompted to change it the first time you log in.

When you first access your mailbox, you are placed at the Main Menu, where you are told how many new and saved messages you have.

To listen to unread messages Press1
To listen to read messages Press 2

  • 3Send a message
  • 4Mailbox Options
  • 5Change Location - See Change Location options
  • 6Listen to messages in your Deleted folder
  • 8Review current availability and location
  • 9Call a Contact
  • 0Return to auto attendant
  • *Make current caller ID the default extension
  • hashDisconnect

Please Note: You will need to follow the steps right through or you will be cut off and need to start again.

Change Password - PIN

To Change Your Password/PIN
  • Log in and Press 4 for Mailbox Options Menu
  • Press 9 to Change your Password
    • Press 1 to listen to existing password - PIN
    • Press 2 to set a new password - PIN

Record a Greeting

To Record a greeting or message
  • Log in and Press 4 for Mailbox Options Menu
  • Press 1 to record your greeting
    • Press 1 to record your Personal Greeting
    • Press 4 to record your Name Greeting

Return to the Main Menu

To Return to the Main Menu
  • Press hash to return to the Main Menu

Record Your Greeting - Greeting Options

  1. Lift Handset and Press the Envelope
  2. Press 4 for Mailbox Options
  3. Press 1 for the Record Menu

Then choose one of the below options: (more options)

Greeting for Internal Callers when I am unavailable
  • Press 7
  • Record Greeting
  • Hang up
Greeting for Internal Callers when I am on the Phone
  • Press 6
  • Record Greeting
  • Hang up
Greeting for External Callers when I am unavailable
  • Press 3
  • Record Greeting
  • Hang up
Greeting for External Callers when I am on the Phone
  • Press 2
  • Record Greeting
  • Hang up

Forward Your Message

When You press 1 or 2 from the Main Menu to listen to your messages you will be sent to the Message Menu

When you press 4 from the Message Menu:

Forward your message
without a comment

After listening to the message
  • press 4
  • Enter the mailbox number
  • Press hash
Repeat for each additional number to which you want to forward the message
  • Press hash to end the list
To Add a Comment
  • Press 1
  • Record Comment
  • Enter the mailbox number
  • Press 1 to send the message
  • Hang up

Logging On to Voicemail

Logging On From
Your Own Phone
  • Press the Envelope button
  • Enter your password/PIN
  • Press 1 to listen to your message
  • Press 2 to Delete the message
Logging On From
Someone Else's Office Phone
  • Dial the internal access number 5060
  • Press hash
  • Enter your mailbox number
  • Enter your password/PIN
  • Press 1 to listen to your message
  • Press 2 to Delete the message
Logging On From
Outside the University
  • Dial the external access number ( 07) -

FAQs

Q. How long is a voicemail message kept in your Deleted folder once you have deleted it?
A. It will stay there for 14 days unless you have manually deleted it from the Deleted Items folder.

Q. How long will a message stay in your Inbox?
A. It will stay there for 14 days after which it will move to your Deleted Items folder where it will stay for a further 14 days.  You can manually delete it and it will move to your Deleted Items folder where the above will apply.

The University has provided a Self Service tool through which you can log your own tickets (jobs). You can also search for a previously logged ticket to check it's status. For urgent jobs you can phone the ITS Service Desk: ext 4008 (838 4008) for support.
