Google Vault


Previously the University used Google Postini to keep a 10 year retention archive of staff sent and received email. This functionality is now provided via a Google Apps product called Vault. Google Vault provides the following functionality:

  • Email and chat archiving - retention of email messages and on-the-record chats.
  • Email search - search for email and on-the-record chats by user account, date, or keyword.
  • Drive file search - search Google Drive accounts by user account, date, or keyword
  • Export - Export specific email, on-the-record chats, and files from Drive.

As the above functionality allows permitted users to search for and export email messages, on-the-record chats and files for Google Drive for any current or previously employed staff members, administrative access will only be granted for specific users. If you require access to archived email or need to do a email/chat/file search, please request what you need via the ITS Service Desk (help@waikato.ac.nz or ext 4008).

How do I get an old deleted email restored from my archived email?

Google Vault is basically a backup of all of your sent and received email that is retained for 10 years. If you need to have an old (plus 30 days) deleted email recovered, or there is an email of a staff member who has left that is now required for important reasons, then please log a call with the ITS Service Desk (help@waikato.ac.nz or ext 4008) with as much detail (e.g. who from/to, subject, dates/times, etc) as possible. 

Note: Sent items remain in your system and can be searched as normal.

Staff Email Archive FAQ's

I think I've deleted an email that I now need, can I get it restored?

If it was deleted less than 30 days ago, it should still be in your Bin / Trash (Gmail) or Deleted Items (Outlook) folder. If it was deleted more than 30 days ago, please log a call with the ITS Service Desk (help@waikato.ac.nz or ext 4008) with as much detail (e.g. who from/to, subject, dates/times, etc) as possible and they will try to recover it for you.

Help! I need to get a copy of an important University-related email from a staff member who left a few weeks/months ago?

The University has provided a Self Service tool through which you can log your own tickets (jobs). You can also search for a previously logged ticket to check it's status. For urgent jobs you can phone the ITS Service Desk: ext 4008 (838 4008) for support.
