Exam Procedures

 

Exams can be a really stressful time for everyone, let alone if something out of the ordinary comes up, like a tangi in the family or you get sick. If something like this happens, don't fret; we can help you out. Check out the exam procedures below, or contact the Maori Student Support Coordinator - she'll help you out.

Exam Information

Bring your student ID to every exam.

If you can't show your student ID or some other acceptable ID (a current passport, photo credit card or photo drivers licence) when you sit an exam, you need to fill out a statutory declaration in front of a Justice of the Peace after you have completed that exam. Your grade for that paper will be withheld until this process has been completed. Presentation of an ID without a signature will be considered invalid.

Entering & leaving the exam room

You should be ready to enter morning exams at 9:15 and afternoon exams at 14:15. You can enter the exam room up to 45 minutes after the doors open (i.e. unti 10:00 or 15:00). After those times, contact the Assessment Office. You may not leave an exam during the first 45 mins of writing time (i.e. 10:15 or 15:15) or the last 15 mins.You need to get the exam supervisor's permission to leave the room before the end of the exam. Sorry guys, but tamariki aren't allowed in the exam room.

Material NOT allowed in the exam

  • Spare paper, text books, study notes, calculators, electronic dictionaries and computers aren't allowed to be brought into the exam rooms without authority in writing from the examiner.
  • Mobile phones, pagers and other communication devices are prohibited from the exam room.
  • It's a good idea to not have any writing on your hands, arms, or anywhere else on your person or clothing as such writing may give rise to suspicion that the writing is to be used to cheat.

If you take unauthorised or prohibited materials into the exam, you may face disciplinary action that may affect your exam result. Cheating in any matter connected with assessment is prohibited.

Material allowed in the exam

In open book exams, you may bring in any reference material.

In restricted exams, you may bring in only reference material specified by the examiner.

Special Consideration for a Missed Examination

You can apply for special consideration if you find yourself in one of the situations described below:

    1. You miss your examination - you have been prevented from sitting an examination by circumstances beyond your control.
    2. Serious impairment to examination performance - you consider your examination performance has been seriously impaired by illness, injury, personal bereavement or any other critical circumstance.
    3. Serious impairment to examination preparation - you consider your examination preparation has been seriously affected by an illness or trauma, for which you are under continuous and well documented care by a qualified person, e.g. a medical practitioner. To make an application under this provision you must demonstrate that effective preparation for the examination was not possible in the two weeks immediately before it.

    Applications for special consideration must include supporting documentary evidence.

How to Apply

To apply for special consideration you must consult either a registered medical or dental practitioner, midwife, registered psychologist or counsellor, depending on the circumstances, on the day of the examination or, if this is not possible, within 24 hours of the examination. The practitioner, psychologist or counsellor must complete the appropriate sections of the application form. The Assessment Office must receive this form within 72 hours of the examination affected.

Application forms are available from the University's Student Health Service and Student Counselling Service or the Student Information Centre, The Gateway (Te Kuaha), Gate 5, Hillcrest Road, Hamilton, New Zealand.

Student Health and the Counselling service have continuous appointments available throughout the Examination period for Special Consideration applications.

We will do all we can to make sure that you can still get the marks you deserve, no matter what circumstances you find yourself in at the last minute.

Review of Grade

If you feel that a mistake has been made in the process of calculating or determining a final grade you have received for a paper you've just completed, you may apply for a review of grade by filling in an application form and submitting it to the Assessment Office. The deadline for a review of grade application is 14 days after final results are made available. There is a fee for the review of grade process that must be included with your application. The process of review of grad is detailed in the University of Waikato Calendar, under Assessment Regulations, or you can again see Kate about it.
