Voicemail

This page contains the Cisco Unity (Voicemail) quick reference information. This voicemail service syncs with your existing Cisco Jabber phone account.

Voicemail Access

Via Jabber softphone Click on 'tape cassette' icon on the lefthand menu of your Jabber
Deskphone Press the voicemail messages button on your deskphone
Call Voicemail Dial 9900
Mailbox Number Your extension number
Initial Password 965800
Web Browser https://ucxnpub01.its.waikato.ac.nz/inbox

Log in with UOW username and password
External Access Number 07 858 5060 press * when system answers

Initial Setup

To ensure your mailbox is set up correctly, work through the following.

  1. Your initial password/PIN is 965800
  2. To access Voicemail from Jabber softphone click on the 'tape cassette' icon then click on 'Call Voicemail' link or dial 9900
  3. If not prompted, press the asterisk to go through an enrolment process the first time you login to record your name and your greeting. You will also be asked if you want to be listed in the directory. This allows users to find you by name in the system and leave messages.
  4. When you first access your mailbox, you are placed at the Main Menu, where you are told how many new and saved messages you have.
  5. Newest message will play first

    To listen to saved messages Press 1

  • 2 Send a message
  • 3 Review old messages
  • 4 Set up options
  • * Exit
  • 0 Help

Change Password - PIN

On Jabber softphone

  1. Click on the 'tape cassette' icon, then click on the 'Call Voicemail' link or dial 9910
  2. Enter PIN followed by #
  3. Press 4 for Set up Options Menu
  4. Press 3 to to enter Preferences
    1. Press 1
    2. Enter your new PIN then press #

Via your browser

  1. Log into https://ucxnpub01.its.waikato.ac.nz/inbox/
  2. Click on the ‘Settings’ button toward the top of the screen.
  3. On the following page, select the ‘Passwords’ menu and choose the ‘Change PIN’ option from the list.

On your deskphone

  1. Press the voicemail messages button
  2. Enter your PIN, followed by #
  3. Press 4 for Set up Options Menu
  4. Press 3 to to enter Preferences
    1. Press 1
    2. Create your new PIN, then press #

Check Voicemail

On Jabber softphone

  1. Log into Jabber
  2. Click on the 'tape cassette' icon
  3. Voice messages will appear in list, OR Click on 'Call Voicemail' link
  4. Enter your PIN

By dialing Voicemail

  1. Dial 9900
  2. Enter your PIN
  3. Latest voice messages will play

Via your browser

  1. Go to https://ucxnpub01.its.waikato.ac.nz/inbox
  2. Log in with university credentials (username and password)
  3. Your message(s) will display in the Inbox

On your deskphone

  1. Press voicemail messages button
  2. Enter your PIN
  3. Latest voice message will play

Return to the Main Menu

Press * to return to the Main Menu.


Record Your Greeting - Greeting Options

  1. Lift Handset and Press the ‘Envelope’ button on your desk phone, OR on your soft phone click on 'Call Voicemail' link, OR dial 9910
  2. Press 4 for Mailbox Options
  3. Press 1 for the Greetings Menu
  4. Then choose one of the below options: (additional options)
    Standard Greeting
    1. Press 1
    2. Record Greeting
    3. Follow prompts
    Closed Greeting
    Enable this greeting if you want Cisco Unity to play a special greeting during the non-work hours
    1. Press 2
    2. Record Greeting
    3. Follow prompts
    Alternate Greeting
    Enable this greeting to play during a specific time period when you want to indicate special circumstances, such as when you are on vacation
    1. Press 3
    2. Record Greeting
    3. Follow prompts
    Busy Greeting
    Enable this greeting to indicate when you are on the phone.
    1. Press 4
    2. Record Greeting
    3. Follow prompts
    Internal Greeting
    Enable this greeting to provide information that coworkers need to know. (For example, “I will be in conference room B until noon today…”)
    1. Press 5
    2. Record Greeting
    3. Follow prompts

To delete a message

On Jabber softphone:

  1. Log into Jabber
  2. Click on the 'tape cassette' icon
  3. Voice messages will appear in a list, right-click the voicemail message you wish to remove and then left-click ‘Delete’ from the context menu
  4. You can delete multiple messages by left-clicking the first message, hold down the SHIFT key, and left-click the last message to remove.  All messages selected can then be deleted by right-clicking on any of these messages, and then left-click ‘Delete’ from the context menu.

Via your browser:

  1. Log into https://ucxnpub01.its.waikato.ac.nz/inbox/
  2. Left-click the message to select it
  3. Left-click the ‘Delete’ button on the lower right of the selected message.

On your deskphone:

  1. Dial 9900
  2. Log in by supplying your extension number followed by the # , then your PIN followed by the #
  3. After listening to the message you will be presented with options with how to proceed.  Press 3 to delete the message.

FAQs

Q. Will my voicemail messages get delivered via email?
A. Yes, Cisco Unity Voicemail is enabled to integrate with gmail.

Q. How long is a voicemail message kept in your Deleted folder once you have deleted it?
A. It will stay there for 14 days unless you have manually deleted it from the Deleted Items folder.

Q. How long will a message stay in your Inbox?
A. It will stay there for 14 days after which it will move to your Deleted Items folder where it will stay for a further 14 days.  You can manually delete it and it will move to your Deleted Items folder where the above will apply.
