How to Manage Your Spam and Other Junk Email

Spam and junk email will show as unread mail in your Spam (Gmail) or Junk E-mail (Outlook) folder in your email client.To approve or block spam and other junk email you need to 'train' the Google Mail system.

Gmail Client

  • For unwanted mail that has arrived in your Inbox, either select (tick) the email message, or open the email, and select the 'Report Spam' button  report spam. This will move the email message into your Spam folder where it will be deleted after 30 days.
  • For email that has incorrectly been flagged as spam and has appeared as an unread message in your Spam folder, you need to open the Spam folder and either select (tick) the email message, or open the email, and then select the 'Not Spam' button. This will move the message to your Inbox.

Outlook Client

  • For unwanted mail that has arrived in your Inbox, either select the email message, or open the email, and then select the 'Junk' option on the 'Home' menu, or drag the email message to your Junk E-mail folder. This will move the email message into your Junk E-mail folder where Google Apps Sync for Outlook (a background application that synchronises your Outlook client with Gmail) will train your Gmail account's spam settings and flag the message for deletion after 30 days.
  • For email that has incorrectly been flagged as spam and has appeared as an unread message in your Junk E-mail folder, you need to open the Junk E-mail folder and either select the email message, or open the email, and then click the 'Not Junk' option on the 'Home' menu (Home > Junk > Not Junk), or drag the email message to your Inbox.

Finally, if you have persistent Spam messages that somehow keep getting past Google's spam filters, or you have specific senders that need to be approved/blocked for all staff users, please log a Service Request in Kuhukuhu or if it is urgent, call ITS Service Desk on 07 838 4008 or ext 4008 and we will try to deal with these via the University's Google Apps Administration console.

How do I prevent messages from specific senders from being tagged as spam?

  1. In Gmail, select the settings icon settings icon in the upper-right corner of your Mail window and select Settings > Filters > Create a new filter
  2. Enter the persons address in the From field, and then select Create filter with this search
  3. Select Never send it to spam and select Create Filter.
