Setup of University Email for Android

The setup of email accounts on Android phones are the same for both staff and students. We recommend that both staff and students generate Application Specific Passwords on their accounts.

To set up an email on an Android Device, you will need to do the following:

  1. Enter the Android Devices Main Menu > Settings

  2. Scroll down to Accounts and Sync as in the screenshot below, or select Accounts from the menu across the top in latest versions of Android.

  3. Select Add Account and then choose Google from the list of account types.Select Google From the list of account types

  4. When prompted to sign in, enter your full University of Waikato email address.
    For staff this will be your computer login ending with @waikato.ac.nz  ie [email protected] (NOT [email protected])
    For students, add @students.waikato.ac.nz to their computer login ie [email protected]

    • Then check first whether Google 2-step Verification is active on your account. If it is active, you will need to go Google 2-step Verification to Mobile Apps Management: section on your computer and follow the instructions there to Security > Application Specific Passwords to setup a new password which will only be entered once into your phone.
    • Otherwise if this is not enabled, log in with your normal Waikato login password.

    Android Sign In

    Google will now attempt to sync the email account with their servers. If everything goes well the device will direct you to the sync settings.  Do not change these. This will now sync the email to the android devices default mail and calendar applications.

    Android - Email Troubleshooting

    In the email setup above, we assume that the sign-in processes went without any issues. However there are some common issues that occur during this step.

    1. Cannot Sync Accountis usually caused by the Google Sync being unavailable. To check this is the case go into Main Menu > Settings > Accounts and Sync > Google and see if there is an error message below the email account regarding Google Sync is currently Unavailable.
      If error message is displayed, wait until later in the day and sync again.

    2. Cannot Sign into Account Check you are connected to Eduroam/Lightwire/UOW Student or UOW Halls. If you are connected to Waikato wireless, this will not connect to google.
      If the account still will not sync, turn off wireless and sync the email through Mobile Data for the first sync. This usually fixes the issue and you can use wireless after the initial sync.

    3. Incorrect Username and/or Password Check you have entered your full UoW email address as the username. (just waikato username for UOW Student network) Check the password you are entering is correct, even if you have to change the password to test this.

      Check whether you have Google 2-step Verification active on your account. Ensure you are entering your Application Specific Password, spaces do not matter.

      On occasion you will have an error where this is displayed and despite doing the above two steps it will not work. In this instance, attempt the troubleshooting in 2. Cannot Sign into Account as this will sometimes fix it.

    Setup of University Email for iPhone / iPad

    Connecting your iPhone or iPad to our Google provided email and calendar services is fast and easy, but you will need an active Apple ID to complete the process.  To begin, open the App Store on your device.  At the bottom right, tap Search.

    You can find many Google products and services available on your iPhone. For example, you can search for Google Chrome.  The apps we wish to install though are Google Calendar and GMail.  Search for GMail first.

    Tap Install and enter your Apple ID credentials if prompted.  Once that install is complete, search for Google Calendar and tap Get, then Install.

    Return to the home screen, then locate and tap the GMail app.  Login with your University username@waikato.ac.nz (not your firstname.lastname email alias) and your usual Waikato password.  Follow the prompts and your email will begin to download.

    Return to the home screen, then locate and tap the Google Calendar app.  Open the app and you should see that your credentials are already loaded into this app.  Toggle the slider to enable your calendar.

    iPhone / iPad Troubleshooting

    In the email setup above, we assume that the sign-in processes went without any issues. However there are some common issues that occur during this step.

    1. Cannot Sync Account
    is usually caused by the Google Sync being unavailable. To check this is the case go into Settings > Mail, Contacts and Calendars > Choose Email address and see if there is an error message below the email account regarding Google Sync is currently Unavailable. If error message is displayed, wait until later in the day and sync again. This is something with google's end and not your phone.

    2. Cannot Sign into Account
    Check you are connected to Eduroam/UOW Students/UOW Halls/Lightwire or your Home Network or using Mobile Data. If you are connected to Waikato wireless, this will not connect to google. If the account still will not sync, turn off wireless and sync the email through Mobile Data for the first sync. This usually fixes the issue and they can use wireless after the initial sync.
