Loan Equipment Policy

Please read our Conditions of Loan before hiring equipment from the ITS AV Counter.

NOTE: Equipment on loan is NOT covered by the University Insurance - it is the borrower's responsibility to ensure that they have suitable insurance coverage.

Hours

In Hamilton AV equipment can be collected and returned from the ITS AV Counter - ITS.G.53 at the following times:

  • Monday to Friday: 8.30am - 9.30am  +  11am - 12noon  +  4pm - 5pm

In Tauranga AV equipment can be collected and returned from the Tech Desk in the Hub at the following times:

  • Monday to Friday: 8.30am - 5pm

Equipment can be booked by logging a "Borrow ICT Equipment" request in Kuhukuhu.

Loan Card

Students and staff must sign a 'Loan Authorisation Card' in order to borrow equipment. Cards may be collected from the ITS AV Counter.

By signing the card you agree to the following:
'I accept the equipment listed is in good order and condition. I understand that the equipment is not fully insured under the terms of current insurance policies, and that I am fully responsible for payment of costs incurred through loss or damage.'

For students who wish to borrow cameras or video production equipment, the card must be a “blue card” co-signed by the course lecturer to authorise you to use our equipment for their course.

Dictaphone and transcriber hire only requires a “green card” completed by the student – a lecturer does not need to authorise these.

Staff members complete a “yellow card”.

Once signed, we will hold the 'Loan Authorisation Card' on file for subsequent use until the end of semester – you will not need to complete another card for the rest of that semester. You will need to produce suitable ID when collecting equipment if requested.

General Loan Periods

Equipment availability is subject to demand, and we reserve the right to recall any equipment at any time. General equipment is usually available for no longer than four consecutive days. (See below for Camera Loan periods)

  • Late returns will be fined
  • Late collections may result in bookings being cancelled

Camera Equipment Loan Policy

Screen & Media Students

All Screen and Media students must comply with the regulations set down in the 'ITS Screen & Media Production Handbook' and the Safety on Set hand out and a test must be completed before any equipment issue.

Loan Periods for Camera Equipment

Equipment availability is subject to demand, and we reserve the right to recall any equipment at any time. Cameras and accessory equipment are available:

  • Late returns will be fined
  • Late collections may result in bookings being cancelled

This equipment is available for course related work only and as such, the 'Loan Authorisation Card' must be co-signed by the course lecturer to authorise you to use our equipment for their course.

  • You must not receive any form of financial compensation for work done with our equipment.
  • Please inform us as soon as possible of any fault with the equipment
  • Please use our gear safely and responsibly

SDHC Memory Cards

Important notes for users of ITS loan pool equipment (on signage by counter)

The following equipment is supplied with SDHC memory cards already installed:

  • Canon DSLR cameras
  • HandyCam Video Cameras
  • Tascam Audio recorders

No SD Cards are supplied with the HD Video cameras (AC90 and HMC152) as users are responsible for their own media.

DO NOT REMOVE SDHC CARDS FROM EQUIPMENT SUPPLIED WITH THEM
Such equipment is supplied with USB Leads for downloading files – removing the card frequently causes card problems.

"Kuhukuhu" is our IT Service Catalogue. You can search for, see the estimated delivery time for, and log your own service requests. You can also view the status of your current requests - providing further information by adding notes or attaching files, and view a full history of all previous requests. For anything urgent you should phone the Service Desk: ext 4008 (838 4008) for assistance.
