Student ID Cards
Learn all about Student ID cards, from submitting a photo to what to do if it is lost or you have forgotten your PIN.
Your Student ID card is essential for campus access, identification, and after-hours entry. This guide explains how to apply for your card, upload a photo, collect it, reset your PIN, and what to do if your card is lost, damaged, faulty, or expired.

Applying for your Student ID card
Once your enrolment is complete, you can apply for your Student ID card through MyWaikato.
How to apply
- Log in to MyWaikato
- From the home page, select the Request a student ID card tile
- Upload a compliant photo
- Choose how you would like to receive your card:
- Postal delivery, or
- Campus collection
Before submitting your request, ensure your contact and postal details are up to date in MyWaikato.
Updating your details
- Select your name in the top-right corner of MyWaikato
- Choose Edit Details
- Note: Some changes may require a formal request for approval
Photograph requirements
Your Student ID card requires a clear, high-quality photograph. A selfie is acceptable if it meets the following requirements:
- Photo of you only
- Plain or neutral background (no patterns or scenery)
- Face centred and visible from the shoulders up
- Full-face view (no hats, hoods, sunglasses, or face coverings)
- File format: JPG or PNG
Photos that do not meet these requirements may delay the production of your ID card.
Collecting your Student ID card
If you selected campus collection, you can collect your card from the following locations:
Hamilton
- Student Centre (Te Manawa)
- Monday–Friday, 8:30am–5:00pm
Tauranga
- Information Desk, The Hub
- Monday–Friday, 8:00am–4:30pm
If you selected postal delivery, your card will be sent to the address listed in MyWaikato.
Forgotten PIN
Your 4-digit PIN is required for after-hours access.
If you have forgotten your PIN, you can request it to be resent to your University of Waikato email by:
- Calling the Service Desk on (07) 838 4008, or
- Logging a Service Request with Kuhukuhu.
After-hours labs and building access
All Student ID Cards automatically allow access to
Waikato Management School students also have access to the MSB Level 0 Lab.
How to access a building or lab
- Hold your card up to the reader
- Enter your 4-digit PIN
- Press the green tick
Additional access
If you require access to other labs or buildings, contact your Department or Faculty Administrator, who will request approved access on your behalf via Kuhukuhu.
Access issues
For card access problems:
Log a request with UniSafe via Kuhukuhu and include photos of the front and back of your ID card

Faulty, damaged, lost, or expired ID Cards
Student ID cards are issued by:
- Te Manawa Student Centre (Hamilton – Level 2)
- The Hub (Tauranga – Level 1)
Replacement fees
- Faulty or expired card: No charge
- Lost or damaged card: $20 replacement fee
Requesting a replacement
You can request a replacement Student ID card by:
- Visiting Te Manawa or The Hub in person
- Emailing idcards@waikato.ac.nz
- Calling 0800 WAIKATO (0800 924 528)
Please include your Student ID number in all requests.
If you are unable to come to campus
You may pay the replacement fee online via Direct Credit / Internet Banking. Once payment has been made, email idcards@waikato.ac.nz with:
- A screenshot or copy of your proof of payment
- Your Student ID number
- A new photo (if you wish to update it), or confirmation that you are happy to reuse your existing photo
Providing all required information will help ensure your replacement card is processed as quickly as possible.
