Requests, Renewals & Recalls

Placing a request

The Library may have a print copy or electronic copy of a book. If an electronic copy is available, Library Search will link to it, otherwise you can request it.

In Library Search, once you've found the item you want:

  • Click on the title to open full record
  • Sign in (if not already signed in)
  • Select Request and choose a Pickup location
  • Click Request to submit

You will receive an email when it is ready to be collected

Registered Distance students will have items mailed to them automatically: please remember to choose home delivery as your pick up location when making your request.

See the Library Search Guide: Request a physical copy to learn how to request an item through Library Search.

Collecting/receiving requested items

An email will be sent to requesters when the item is available for pick-up. You can also check My Account through Library Search.

Pick-up location details

Includes Hamilton Campus Library and Teaching Resources Library. Items for collection are held on the book shelf near the Library Service Desk on Level 2 of Te Manawa - the Student Centre.

Items can be collected from the Tauranga Campus Library.

Personal Delivery

Only available for if you have registered for the service. Items will be sent directly to the registered address.

The item will be available for three days before being returned to the shelves, or given to the next borrower.

Receiving a recall notice

If you receive a recall notice via email, it means that an item you have borrowed is being requested by another borrower. All borrowable material can be recalled and is more likely when books are in high demand for assessed course-work. Recalling items is a way of making this material available to as many students as possible.

The recall notice will provide you with the new due date for the recalled item. Make notes, photocopy if necessary and return the item by the new due date. You can request the book again.

If you don't return the book on time you risk receiving a fine.

Loan period for a requested item

Generally requested items are issued to you for the loan period according your membership type. See How long can I borrow an item for?

Exception: If there are other people waiting for the item you have requested, it will be issued to you for 7 days only.

Access to items in off-campus storage

If the item is in storage you can request it through Library Search.

Retrieval of items in Off Campus Storage (book or journal) can take up to two working days, although most items will be available the next business day. If it is needed sooner it is possible to arrange a special courier delivery, however, this will incur a charge.

Renewing an item

To renew a Library item:

  • Go to My Account in Library Search.
  • Use the Self Return and Issue machines in the Library, or
  • Bring the items to the Customer Service Desk on Level 2

Renewal periods

Renewal periods are:

  • Postgraduates – 300 days
  • Undergraduates – 150 days

These are the maximum periods of the entire loan including all renewals. An exception applies when an item is recalled.

Problems renewing online

There are three reasons why you could have trouble renewing an item online.

  1. You have exceeded the renewal period
  2. The item has been recalled. See Requesting and Recalling: Receiving a recall notice
  3. There may be a problem with your Library Account. Ask at the Library Service desk on Level 2.
