Interlibrary Loan Service

If an item that you need for research or study is not available from the University of Waikato Library collections (including electronic databases) we can usually get it for you from other libraries in New Zealand or overseas.

Who can use Interlibrary Loan?

The Interlibrary Loan service is available to staff and currently enrolled students of the University of Waikato.

Requesting an Interlibrary Loan

Interlibrary loans are available for items outside our Library collection. We can't interloan items we already hold.

You can request as many items as you require, however if the need arises, we may ask for confirmation that requested items are for research, study, or teaching purposes.

The following items can be requested:

Books

  • Loan conditions are set by the Lending Library and must be followed by you and the University of Waikato Library.
  • Renewals can often be requested.
  • Some books may be restricted to use in the Library only.
  • Ebooks may be borrowed through Interlibrary Loan.

Journal articles and conference papers

  • These usually arrive as PDFs but can be print copies due to database licence restrictions. Very recent articles may not always be available.

Theses

  • Theses may usually be borrowed from other New Zealand universities but must be used in this Library. We can advise you on the best way to obtain an overseas thesis.

Audio Visual Format

  • DVDs, CDs and CD Roms may be available at the discretion of the Lending Library. Place a request and we will try to obtain the item for you.

Placing a request

If the item is known, simply log in to your Interlibrary Loan account to place a request, or search for items through Library Search and place a request. See Library Search guide for details.

Once you have placed a request, all messages regarding that request will be sent to the email address you have saved in your Interlibrary Loan account under section 'Communication Preferences'. We will normally contact you within 7 days of receiving your request but if you haven't heard from us in that time, check your 'spam' first (our email may have ended up there) and check you have saved the correct email address in your account before contacting us directly.

Estimated time for delivery

Please place your requests in plenty of time. Allow at least two weeks for delivery. Generally books will take longer to arrive than articles. The accuracy and quality of your reference is important and will help us process your request quickly.

Urgent requests

If the item is urgent, request the item through your Interlibrary Loan account as per normal and either email [email protected] or phone +647 837 9139 so we can prioritise the request. Note there will be a cost for an urgent request.

You can manage your requests through your Interlibrary Loan account.

Please remember to select your pickup location when placing your request.

Staff

  • If received electronically articles can be viewed as a PDF from within your Interlibrary Loan account, attached to your Interlibrary Loan Request.
  • Books and print articles will be sent through the internal mail.
  • Theses and Library Use Only material must be collected in person from the Service Desks of the Central or Teaching Resources Libraries.

Students

  • If received electronically articles can be viewed as a PDF from within your Interlibrary Loan account, attached to your Interlibrary Loan Request. Print articles must be collected from the Services Desks of the Central or Teaching Resources Libraries.
  • Books and theses must be collected in person from the Service Desks of the Central or Teaching Resources Libraries.

Tauranga Students and Staff

  • If received electronically, articles can be viewed as a PDF from within your Interlibrary Loan account, attached to your Interlibrary Loan Request.
  • Books and print articles will be sent through the internal mail.

Distance Students and Staff

  • If received electronically, articles can be viewed as a PDF from within your Interlibrary Loan account, attached to your Interlibrary Loan Request. Print articles will be posted to the address listed on your student record.
  • Books will be posted to the address listed on your student record.
  • Theses and other Library Use Only items cannot be posted to you. Before you place the request you will need to make arrangements with the Interlibrary Services Team (email [email protected] or phone +647 837 9139)

Renewing and returning

Renew

You can request a renewal for most of your interlibrary loans but they are subject to the approval of the lending library.

You can request a renewal for your interlibrary loan book online, as long as it's not overdue. To do this:

Please note: Clicking on the 'Renew' icon, does not populate a new due date automatically. This is just a mechanism to trigger a renewal request. We are dependent on the lending library, to approve or decline the request.

Return

When you have finished using books or theses they should be returned to the Service Desks of the Central or Teaching Resources Libraries or Tauranga Campus [CBD].

Fines for overdue, damaged or lost books

For overdue items we charge a $3/day fine, for non-response to overdue notifications.

Damaged or lost books interlibrary Loan patrons, must pay whatever the supplying library charge + UOW admin fee.

Making copies

By using the Interlibrary Loan system you agree to comply with Section 51-56c of the New Zealand Copyright Act 1994. You may not reproduce documents you receive or share with others.

No more than one article may be obtained from one issue of one journal at a time, or two articles if they are on the same topic.

Borrowing conditions and privileges

An item obtained from another library on interlibrary loan may be subject to specific conditions imposed by the lending library. A borrower not complying with these conditions will have the privilege of using the interlibrary loan service withdrawn.
